2020 Deployed System Updates

Following is a list of all system updates that have been deployed. System enhancements are deployed on the last Wednesday of each month. 

Deployed Jan. 15, 2020:

  • New Job Ad Template created on the Job Card. A new “Generate Description” button has replaced the “Add Template” button in the Posting Details section of the Job Card. This button will populate all sections needed in the Advertisement text box, which will carry over into the Sourcing tab. For any changes that need to be made to the content of this box, please refer to the Quick Guide located on the PageUp Canvas site.
  • Enhancements were made to the Employment and Education sections on all of the Staff Applications for Applicants. These sections include repetitive questions, which have been streamlined in the updated staff applications.
  • Six-digit organization number was added in front of the fund number in the Funding section of the Position Description, Job Card, and Offer Card. This change will help users locate fund numbers more efficiently.

Vendor Update - deployed Feb. 5, 2020:

  • New functionality for new jobs created on February 5 or later. From the Job Card, users will be able to view the title and the reference number of the source Position Description (PD). Additionally, from the PD, users will be able to view a list of the jobs “raised” (or originating) from that particular PD. This list will be available from the action menu at the top right of the PD screen. This functionality provides an indication of the relationship between the PD and the job; however, the two records continue to exist independently, and data is not automatically shared between them. The relationship will only be visible for any new jobs created on Feb. 5, 2020 and beyond.

Virginia Tech Updates - deployed Feb. 25, 2020:

  • Pay Band field added to Position Descriptions: On new Position Descriptions, the Role 4 HR approver will select the pay band in the Staff Only classification section of the Position Description.  On existing approved Position Descriptions, the pay band will be listed in the Position Title Details Banner box.
  • Terminology changed on Save buttons: The buttons at the bottom of Position Descriptions, Job Cards, and Offer Cards will now display “Save a draft”, “Submit”, and “Submit & exit” instead of the former selections, “Save” and “Save & exit”.
  • Fixed Position Description printing issues: Users were having formatting issues when trying to print Position Descriptions.  PageUp worked with the developers and fixed the formatting issue.
  • New sections and updates to the PageUp User Guide: Several sections and updates were made on the PageUp User Guide to reflect system and business process changes that have occurred in the last few months.  The user guide can be found on the PageUp Canvas site.

Deployed Mar. 26, 2020:

  • Reference check - Automated application status: When selecting Reference check – Automated in application statuses, the online form that is sent out to references has been simplified.  Reference questions have been removed with the upload reference document feature remaining.  This updated reference request provides the ability for dossier companies to automatically submit documents, as well as ease of use for all reference providers.
  • Updated Application status titles: In order to avoid errors in the system, some of the application statuses in the system have been retitled.  Original titles will remain with cautionary text added to the end of some statuses for guidance.
  • Regular versus Restricted job type: The Regular versus Restricted job type will now feed over from the Sourcing tab to the Careers site.  This information was previously available during search committee actions and offers, but was not provided ahead of time to applicants.
  • Position Description Guidance: Guidance on how to write a position description has been provided with a PDF link on the Position Description card.  This is located directly above the Job Types selection field.  This guidance was provided by the Talent Acquisition Team at the Division of Human Resources.
  • “About Virginia Tech” statement:  The previous statement has been replaced with a new statement issued by University Relations.  This statement is found in the Advertisement text box, which carries over to the Sourcing tab.
  • Applicant List report: The Applicant List report is now available for Role 2 system users.  This report was previously only available to Roles 3, 4, and 5.

Deployed Apr. 15, 2020:

PageUp System Updates:

  • Position numbers:  Departments will begin to see different position numbers in the PageUp system based upon position type.  Position numbers will now be formatted as follows: XXXXXF for faculty, XXXXXS for staff and XXXXXW for wage.   
  • Request for a new position number or updating an existing position number for all faculty, staff, and non-student wage (1500 - hour wage) job types: Once a position description has received all approvals, the process to create a new or update a position number for faculty/staff/non-student wage in Banner has been enhanced.  Users may notice a faster response when viewing the information in PageUp.     

Banner System Reminder:    

  • Request for pooled position numbers for non-PageUp job types (student wage/work study/GA/P14/emergency hire/sporadic hire):  Please send an email to the HR Service Center at hrservicentercenter@vt.edu with the pooled position type needed, six-digit org number and a default fund number.

Deployed Apr. 29, 2020:

PageUp System Updates:

  • Onboarding portal content has been updated to reflect the most recent information and processes.
    • The task list in the onboarding portal has been reformatted for ease and clarity. The tasks, many of which were bundled together, have been broken out into individual tasks and written more concisely so that the new employee list functions more like a checklist.
    • The Business Conduct Standards and acknowledgement form that were distributed in hard copy in orientation have been moved online and added as a task in the onboarding portal. Questions about the Business Conduct Standards or the acknowledgement form can be directed to Business and Decision Support Analyst Alisha Ebert at aroyal14@vt.edu.
    • The Consent to Electronic Delivery Form, another paper form previously given out in orientation, has been moved online and is now a task in the onboarding portal. This form contains a list of key university policies that are available online and requires the employee’s electronic signature to acknowledge that he or she will not receive paper copies of those policies.
  • The Orientation Scheduler has been added to the onboarding portal as a pre-boarding activity in the task list of the onboarding portal.
  • A new field on the Job Card, Dispositioning delegate field, will allow Role 1 Users in the PageUp system to disposition applicants to certain statuses in the system. This will serve the need of search committee chairs who are not HR practitioners to disposition their applicant pools to a more efficient short-list of applicants.

Deployed June 24, 2020:

PageUp System Updates:

  • ADA language change in the Generate Description template: The ADA language at the bottom of the Generate Description template on the Job Card has been changed to a fill-in format.  Hiring managers will need to fill in the appropriate information, which will then feed into the Sourcing tab and Career site.  Following is the new language:

“If you are an individual with a disability and desire an accommodation, please contact _____ (insert name) at email _____ (insert email) during regular business hours at least 10 business days prior to the event.”

The hiring manager enters the fill-in information by replacing the insert locations with the contact name and email.  Do not delete any space at the end of the sentence due to HTML formatting.

  • Supervisor information provided in Banner HR will flow to PageUp: When viewing the Manage Position Descriptions grid, the column labeled Supervisor Name will display the person identified as the employee’s supervisor in Banner. The information will also display in the blue box when viewing a Position Description.

    Providing supervisor information in the Applicant Tracking module will allow the functionality necessary for the PageUp Learning Management System that is currently underway.  

    As a reminder, changes to an employee’s supervisor should be completed through the supervisor change PAF process in Banner.

Deployed July 29, 2020:

PageUp System Updates: 

  • Three new conditional terms added to Position Descriptions: In the Physical and Environmental Demands & Conditional Terms section of the Position Description, three Conditional Terms have been created that will feed into Banner.  These include Emergency Personnel, Essential Personnel, and Commercial Driver’s License (CDL).  The CDL has been separated from the Licensure conditional terms to provide the ability to feed this information into Banner.  These Conditional Terms can be added and edited on the Position Description and will be read-only on the Job Card.  When a Position Description is edited these Conditional Terms must be checked appropriately or the correct information will not feed into Banner properly.
  • Search Committee Evaluation Report and Calculator:  A new search committee evaluation report has been added to the Reports tab of the Job Card.  This streamlined report can be run after the search committee evaluates the applicant pool and the data placed in the Excel calculator.  This calculator will add up the averages and totals for each applicant.  Directions can be found on the PageUp Canvas site in Quick Resources. 

Deployed August 26, 2020:

PageUp System Updates:

  • iWork statuses in Job Card and Application statuses: In the list of Job Card statuses the iWork status has been added to accommodate the processes needed to have an iWork candidate on a Job Card.  The iWork application status has been added to disposition a candidate for hiring in the iWork status.  Contact your Role 4 system user for information on when to use the iWork statuses in the PageUp system.

Deployed October 28, 2020:

PageUp System Updates:

  • Telework radio buttons on Position Description and Job Cards:  Telework job indicators have been added to the PageUp system on the Position Description card under the Position location dropdown list and a radio button choice for telework eligibility.  These fields feed over into the Job Card in the field labeled Work Location and in the radio button choice in the Position Details section.
    • Telework eligible roles directions:
      • If a job is completely remote, choose Telework-Remote Position as the position/work location in the PD and Job Card. Also choose “yes” in the Telework Eligible radio button on the PD and Job Card.
        •  When the Role 4 is sourcing for the job, check the location box that says “Telework Eligible.”
      • If a job can have remote flexibility but still has an assigned work location, choose the assigned position/work location in the PD and Job Card. Then choose “yes” in the Telework Eligible radio button on the PD and Job Card.
        • When the Role 4 is sourcing for the job, check the location box of the assigned work location AND the checkbox that says “Telework Eligible.”
  • Reminder: Departments must provide a name and email address at the bottom of the Generate Description screen in the Posting Details section of the Job Card for an ADA contact for all applicants.

Deployed December 16, 2020:

PageUp System Update:

Affirmative Action Section on the Job Card:  A new section was added to the Job Card titled Affirmative Action.  This section contains seven radio button selections for affirmative action goals:

  • Female
  • Black or African American
  • Native Hawaiian or other Pacific Islander
  • Asian
  • American Indian or Alaska native
  • 2 or More Races
  • Hispanic or Latino

This section will replace the Affirmative Action dropdown field in the section titled Requisition Information.  The Role 4 system user will enter the mandatory selection on each radio button and if there is no affirmative action goal for the position all of the selections would be marked “no”.

2021 Deployed System Updates

Following is a list of all system updates that have been deployed. System enhancements are deployed on the last Wednesday of each month.

Deployed March 24, 2021:

PageUp System Updates:

  • Applicant Pool Certification section on the Job Card:  This new section on the Job Card will be directly above the Users and Approvals section and contains fields to enter the applicant pool certification information.  These fields include a place to enter the name of the reviewer, the date of the review, and a drop-down field with the following four options for the pool certification:
    • Pool approved:  Fully meets and exceeds availability.
    • Pool approved – within range:  The pool meets the university disability utilization goal and veteran hiring benchmark.  If the position has a specific AA placement goals(s), the pool also meets that goal, as well as the university disability goal and veteran hiring benchmark.
    • Pool approved – based on recruiting plan:  Data points may not reach availability, but based on recruiting efforts and good faith efforts the pool is certified.
    • Pool not approved:  If not approved, there should be a new review date along with a plan for the extension.

This section must be completed by a Role 3 or higher user.  An instructional PDF is linked to this new section describing the applicant pool certification process for HR practitioners.

  • Areas of Interest:  Two new areas of interest were added to the Sourcing tab on the Job Card.  The categories of Natural Resources and Transportation are now selectable by the Role 4 on the Sourcing tab.  These selections are available to the applicants on the careers site in the filter results under categories if a department posts a position with that category selected.

There were no updates to the system in the month of April.

Deployed May 26, 2021:

PageUp System Updates:

  • Statement of Economic Interest Indicator:  Role 4 users will now have the ability to add the Statement of Economic Interest Indicator (SOEI) in the classification sections on the Position Description card:
    • The staff, wage, and faculty classification sections will include a drop-down indicator of yes or no.  These values will feed into Banner when the position description is fully approved.  If you have any questions regarding whether a position has a SOEI requirement, contact Jessica Pharis at jessicapharis@vt.edu.
  • New University Staff Offer Letter template:  This new staff offer letter template will replace the old template and includes the following:
    • Includes information regarding individuals requiring Commercial Driver’s License (CDL) as a part of pre-employment checks, similar to conviction checks.
    • Users creating offer letters for positions that do not require a CDL as a core function of the job will still need to delete the “red” heading and subsequent text that does not pertain to the role before saving with the applicant’s name and re-uploading to PageUp.

  • New Position Location:  A new position location has been added to the Position Location field on the Position Description card, which maps to the Work Location field on the Job card.  The new location is titled “Innovation Campus – HQ – Alexandria.”
  • New Search Category: A new search category has been added to the Sourcing tab for Role 4 users to add to their postings.  The new search category is titled “Program/Project Management.”
  • New Job Alerts Button: A new Job Alerts button has been added to the careers site jobs.vt.edu.  This button is found under the Internal Employee Postings button on the far right of the careers site after an applicant clicks on the Apply Now button.  The button gives applicants the ability to subscribe to all job alerts or filtered job alerts.  This does not take the place of the existing filtered job alerts feature already on the careers site.

PageUp system updates:

Job Card Changes

  • Internal Hiring Range (internal use only)* field: Anticipated Salary Range (internal use only) field has been renamed to Internal Hiring Range (internal use only)* field.
    • This field is now marked mandatory.
    • Contact your Compensation Delegate, your Role 4, or your Divisional Director for any questions when determining the internal hiring range that will be placed in this field.
  • Non-competitive drop-down reasons: The reasons in the Search Exemption/Non-Competitive Information section of the Job Card have been updated to correspond with the changes to the P3A form.
  • Non-Competitive (Faculty/Staff) Approval Workflow: The approval workflow on the Job Card has been reduced to two levels and the senior management level has been removed. This action was approved by the HR Advisory Council in June 2021.
  • Diversity Advocate: The Job Card in PageUp has been enhanced to allow for the designation of a Diversity Advocate for searches. This field is a text box that will allow an employee’s name to be entered to signify they are the Diversity Advocate for the particular job search. This field is for designation and reporting purposes only and does not have system functionality. The Diversity Advocate will also need to be listed as a Search Committee Member in order for them to have functionality on the job card and with the applicants. Please be conscious of spelling when entering the correct names of individuals. The first and last names of Diversity Advocates should be entered (e.g. Jane Doe) with no email address entered. If anyone has questions, please reach out to Jeff Cumberland at jcumber@vt.edu.

Offer Card Changes

  • Renamed Internal Hiring Range (internal use only)* field: The entered value from the Job Card will map over to the Offer Card in a read-only format.
  • Non-Competitive reason field: The entered value selected on the Job Card will map over to the Offer Card in a read-only format.
    • If a non-competitive action is not occurring, this field will be blank on the offer card.
  • Current Employee Salary (if non-competitive action) field: This new field was added to the Offer Card for non-competitive actions.
    • The HR practitioner would locate this salary in Banner and enter the value.
  • Percent Change in Salary field (if non-competitive action) field: This new field was added to the Offer Card for entering the increase in percent change from the current salary to the new annual salary.
    • The HR practitioner will manually calculate the percent change between the current salary and the annual salary in the new offer. The formula is provided in the training materials.
  • Six New Offer Cards Approval Workflows: These new workflows have been added to the system to align with the new signature processes being implemented, as well as the changes with forms processes. Details of each workflow are provided in the training materials.

2022 Deployed System Updates

Following is a list of all system updates that have been deployed. System enhancements are deployed on the last Wednesday of each month. 

Deployed January 26, 2022:

PageUp system updates:

Additional information box on the Job Card:  Role 2, 3, and 4 users will have access to the Additional information (Visible to applicant) box on the Job Card.  This box will be located between the Advertising pitch and the Generate Description box on the card.

  • Users can enter additional information into the job ad for applicants to review.  Previously, the information could only be entered by a DHR HR generalist or entered after the Generate Description was populated with information and the additional information was entered into the source code box.  Using this new text box will eliminate source code errors related to additional information entries.
  • Any information typed into this text box will be reflected on the job ad between the additional information sub-heading and the conviction check statement.

Deployed March 2, 2022:

PageUp system updates:

Workplace arrangement verbiage changes:  The following changes have been made in the PageUp system to align with workplace arrangements throughout the hiring process.

  • PD Card
    • Position Location field:
      • Telework-Remote Position has been removed from the list.
      • Fully Remote has been added to the list.
    • Is this position telework eligible? question and radio button answers have been removed from the PD card.
    • Workplace Arrangement drop-down list has been added with Hybrid, Onsite, and Remote as the selection choices.
  • Job Card
    • Position Location choice will still map over to the Job Card in the Work Location field.
    • Workplace Arrangement choice will map over to the Job Card.
    • Posting Location field:
      • Telework eligible has been removed from the list.
      • Fully Remote has been added to the list.
      • Hybrid has been added to the list.
      • Guidance has been added for the hybrid selection underneath the drop-down field.
  • Offer Card
    • Work Location will still map over to the Offer Card and continues to map over to the Location of Work field on the offer letters.
    • Workplace Arrangement will map over to the Offer Card and map over to the offer letters.

Pre-employment checks section of the Offer Card:

  • The previous terminology and the yes/no radio buttons have been removed from the offer card.
  • New terminology and a link to the conviction check website have been added in that section.

Voluntary self-identification questions removed from the Internal Transfer New Hire form: 

  • During the implementation of the Equifax New Hire Center on March 29, the voluntary self-identification questions were removed from the PageUp VT New Hire (and wage to salary) Form.  After evaluating the Internal Transfer New Hire form, it was decided to remove the same questions.

Unsuccessful disposition status system email communications: 

  • The four unsuccessful applicant dispositioning statuses have automatic email communications sent by the system when the applicant is moved to these statuses.  These communication emails have been rewritten to provide more accurate information based on the status.  These messages are visible to the HR practitioner in the confirmation pop-up boxes when submitting the status.

PageUp system updates:

Position location changes:  The following changes are being made in the PageUp system to include more Virginia Tech locations across the state.  These selections can be found on the PD card in the Position location field and maps over to the Work location field on the Job card.

Posting location changes:  The following changes are being made in the PageUp system to include more Virginia Tech locations across the state for more search filter options.  These selections can be found on the Job card in the Posting Details section in the Posting location field and on the Sourcing tab in the search filters.

  • Adding – Washington DC Metropolitan Area

Essential Personnel checkbox removed from PD Card:   To align with policy no. 4305, the Essential Personnel checkbox will be removed as a selection option in the Conditional Terms section of the PD card.

Search committee training report direction document:  A link to an instruction document will be added to the Search Committee Details section of the Job card.  This document provides instructions on how to access the search committee training report.

There were no updates to the system during the month of July.

Deployed August 10, 2022:

PageUp system updates:

  • PageUp Onboarding PortalNew hire task list expansion:   In the New Hire (new to VT or transitions Wage to Salary) workflow, new hires and managers will now receive tasks and informational messages through the first year of employment. 
    • Pre-boarding: Addition of a pre-boarding welcome letter. It will contain relocation resources, an introduction to Virginia Tech, and other select Virginia Tech resources.
    • Day 1: Addition of telework options and link to day 1 onboarding checklist for the manager.
    • Week 1: The following information has been added: communications (setting up email signature using VT guidelines, VT Zoom backgrounds). The following information has been moved to week 2: required training for all new employees.
    • (added) Week 2:  The following information has been added: required training for all new employees, additional training by role, and a reminder of benefits selection deadlines.
    • (added) Month 1: Additional training by role, and benefits selections.
    • (added) Month 2: Information about the PageUp Learning Management System (LMS), Gallup Clifton Strengths, and links to community resources.
    • (added) Month 3: Information about tuition benefits, governance structures, and senates; a reminder of compliance training deadlines.
    • (added) Month 4: Information about diversity and inclusion resources.
    • (added) Month 5: Information about wellness resources and benefits and a reminder of the 6-month evaluation for newly hired staff.
    • (added) Month 6: Reminder of the PageUp LMS for professional development, link to the development action plan, and a reminder of the 6-month evaluation for newly hired staff.
    • (added) Month 9: Information about events on the Blacksburg campus and how to refer others to jobs at VT.
    • (added) Year 1: A congratulatory anniversary note, a reminder on how to complete a development action plan, and information on the 1-year performance evaluation.

 

  • Customized application questions for Role 4:  When a department needs a teaching statement, diversity statement, or a research statement added to the application, a Role 4 can customize the application by selecting these pre-build questions to add to the application.  A quick guide will be loaded into the PageUp Canvas site under Quick Resources. 

 

  • Title length extension:  Banner recently implemented the ability to add a title longer than 30 characters, extending the limit to 120 characters.  With this change, we have placed a new informational message above the Title field on the PD card with this information.

 

  • EEO report on Job cardUntil recently, the EEO report located on the Reports tab of the Job card has only been visible to Role 3 and Role 4 in the system.  The report has been permissioned out to Role 2 as well.

 

  • New drop-down value for Type of action requested field: A new value is being added to the Type of action requested field at the top of the PD card to identify if the PD update is for a classified staff employee.  Though new hires to Virginia Tech cannot be hired into classified staff positions, our classified staff employees can be hired for existing positions which would require an e-class change to the position number on the PD.  In most cases, the department would not be aware of the classified staff status until after the candidate is selected.  That would require the department to go back to the PD to update the status after the candidate has been onboarded.  For these actions the department would need to select the new drop-down value of Update Position Description – Classified Staff E-class Needed.  Once this selection is made, the EA team will use the updated classification information entered by the Role 4 and other selections on the PD to select the appropriate classified staff e-class and route the position number through Banner.

 

Notice of Future PageUp Updates on Wednesday, August 17, 2022

  • Posting locations – Actions needed after Wednesday, August 17, 2022 implementation:  In order to best advertise Virginia Tech jobs across the various platforms the Talent Acquisition team has contracts with and for sites where jobs are scraped to, we will be updating the posting location selections list for all jobs.  Jobs will reflect a City, State location.  All jobs that are currently being advertised will need to have their locations updated in order to reflect accurately.  We will be adding all campus locations, extension offices and AREC’s to this list.  We anticipate this action to go live on Wednesday, August 17, but wanted to let all PageUp users that action will need to be taken on ALL jobs that are currently posted.  If you have any questions or concerns, please let Jeff Cumberland jcumber@vt.edu know.

PageUp system updates:

  • Posting locations – Actions needed after Wednesday, August 17, 2022 implementation:  In order to best advertise Virginia Tech jobs across the various platforms the Talent Acquisition team has contracts with and for sites where jobs are scraped to, we will be updating the posting location selections list for all jobs.  Jobs will reflect a City, State location.  All jobs that are currently being advertised will need to have their locations updated in order to reflect accurately.  We will be adding all campus locations, extension offices and AREC’s to this list.  This action will go live on Wednesday, August 17, and wanted to let all PageUp users that action will need to be taken on ALL jobs that are currently posted.  If you have any questions or concerns, please let Jeff Cumberland jcumber@vt.edu know.

PageUp Work Teams

In order to provide continuous system and process improvements, PageUp work teams were implemented within the Division of Human Resources.  These groups meet weekly to work on system enhancements and find solutions for system issues.  System administrators work directly with PageUp representatives to provide user feedback and suggest system enhancements for this agile software system.
