Making Leave Corrections On-Line

Leave Representatives are authorized to make leave corrections on the last leave report submitted. The following outlines the procedures for making corrections on-line to an employee's last leave report submitted.

Procedure

  • Leave Representative receives documentation from the employee or supervisor for leave correction(s) to be made to an employee's last leave report submitted, or discovers entry error when entering leave.
  • Enter the url: http://www.hr.vt.edu/leave/
  • On the Leave Resource Site click on Leave Entry and Reporting System
  • Enter PID (email id)
  • Enter password (email password)
  • Click on Verify
  • Click on "Department Representative" in the Leave Reports window in the upper right hand corner
  • Select the last leave report submitted
  • Enter employee's social security number
  • Click on "then click here"
  • Brings up leave report with the message at the top "This data was previously submitted. You may change and submit again. Employee's name " ***Submitted*** ". Leave usage previously submitted will appear below.
  • Make corrections to the leave report using normal leave entry procedures.
  • Click on "Submit" located in the upper left hand window. Balances will record as zero after submission.
  • Print a copy of the corrected leave report.
  • The corrected leave report copy will indicate "***Corrected***" under the employee's name.
  • The Leave Representative is to have the employee sign the final printed corrected copy, have the supervisor sign it, provide a copy to the employee and retain the original signed corrected copy for records retention.

Human Resources will accept leave corrections turned in via marked up signed copies.
