Frequently Asked Questions for HRIS Web Reports

 

 


1. How do I get access to the HRIS Web Reports? 

HRIS users are automatically granted access to run HRIS web reports when their Banner access is established. If you do not have Banner access then you will need to request it. The online Banner Access Request System may be found by going to http://www.computing.vt.edu. Then click on "Banner ID" under "Accounts & Access". On the following page, click on "Request Banner Access (Finance, HR, Student)" in the top right hand corner. You will login with your PID and password then proceed to fill out the request.

Please note: At the end of completing your access request online you will need to print the last page and have it signed by a Dean, Director or Department Head. This paper copy must submitted to Human Resources (Mail Code 0318). IRM is investigating ways to eliminate this last "paper piece" of the process.

2. Do I need to install software on my computer to run HRIS web reports?

No, the reports are accessed through your computer browser on the internet. You can access the report by clicking here. You may want to bookmark the website so that it is easier to return to it. Netscape 4.7 or Internet Explorer 5.5 or later should be used to access the system.

3. How do I find the manual to help me with HRIS Web Reports?

The manual can be downloaded by clicking here. You will need a PID and password to download the manual.

4. What should I do when my password does not work?

Please make sure that you are using your Banner password. If it still does not work then you may need to contact 4-help (231-4357) and have them reset your Banner password.

5. Who can I contact if I have a question or problem with HRIS web reports?

6. When viewing the report, sometimes it says that the report ran from Banner and sometimes it says the report ran from Warehouse. What does that mean?

Reports are ran against the Data Warehouse or the Banner database. The Data Warehouse data is extracted from the production Banner database, and is at least one day older than Banner.

7. What is the difference between Submit and Submit Interactive?

By clicking on the Submit button, the report will be queued for submission and when the report is complete an e-mail will be sent to all recipients. By clicking on the Submit Interactive button, the report will be submitted right away and will display the results in your browser.

8. What types of format can I view the report?

All reports can be viewed in either html or pdf (Adobe Acrobat) formats. Some reports will have the option to view in Excel. If there is a report and it does not have the option to view in Excel, you can view the report through the html format, highlight and copy the data, then paste it into Excel.

9. If I save the parameters for a report that has a pay period number that needs to be entered, will the report automatically change the number each pay period?

Unfortunately if you save parameters for a report, it will retain the pay period number that you had entered and will not automatically change. However you can still bring up the saved report and just change the pay period number to run it.

10. I just had a report sent to me through e-mail and when I click on the link to log in, it will not accept my password.

When a report is sent through e-mail you will need to log in with your PID username and password instead of your Banner username and password.

11. When I receive the e-mail that the report is ready, how long will the report be available?

The report is retained for 30 days then it will be deleted from the system.

12. Can I distribute a report to anyone?

You can only distribute a report to anyone who has access to the HRIS web reports and the department that the report was ran from.

13. When I receive the e-mail that the report is ready, can I forward the e-mail to anyone so that they can also view it?

All HRIS web reports are secured so that if the e-mail was forward to anyone, the person receiving the e-mail will also need access to the HRIS web reports and the department that the report was ran from.

14. I received the message "Invalid Session", what does that mean?

A session is automatically terminated when there is no activity for 15 minutes. You will need to login again.
